This Privacy Policy explains how AI Coach Builder collects, uses, processes, and shares information when you use the AI Coach Builder website, intake tool, emails, setup materials, and related services.

AI Coach Builder is currently intended only for adults age 18 or older who reside in the United States.

1. Information We Collect

When you complete the AI Coach Builder intake, you may provide:

• Name and email address
• Age or age range
• Sex
• Height, weight, body-composition goals, and health goals
• Exercise experience, equipment, injuries, pain, and limitations
• Nutrition preferences, restrictions, habits, and challenges
• Health conditions, symptoms, medications, clinician involvement, and other health-related context
• Schedule, sleep, stress, recovery, motivation, and consistency information
• Preferences about coaching style
• Whether you request optional Upgrade Pack emails

You choose what information to provide. Please do not submit information you do not want processed as described in this policy.

We may also receive basic technical and operational information generated when the service is used, such as request timing, delivery status, error information, and standard network or device metadata handled by our infrastructure providers.

AI Coach Builder currently does not use Google Analytics, Meta Pixel, Microsoft Clarity, TikTok Pixel, or similar advertising or behavioral-tracking tools.

2. How We Use Information

We use information to:

• Generate personalized AI Coach Builder Project Instructions and starter prompts
• Deliver the generated setup materials by email
• Provide the optional Upgrade Pack email when requested
• Operate, secure, troubleshoot, and improve the service
• Respond to privacy, support, or legal requests
• Comply with applicable law and protect users, the service, and others

We do not sell personal information or consumer health data.

We do not use intake answers for targeted advertising.

3. How The Intake Is Processed

The current intake flow works as follows:

1. Your browser sends the completed intake to an AI Coach Builder Cloudflare Worker.

2. The Worker processes the intake transiently in memory.

3. Relevant intake information is sent to Anthropic's Claude API to generate your personalized setup.

4. The generated setup is sent to your email address through Resend.

5. If you separately request Upgrade Pack 001, Kit receives limited contact and subscription information.

AI Coach Builder does not currently store your raw intake answers in its own database. The current Worker has no connected KV, D1, R2, Durable Object, Queue, or other intake-data storage binding.

4. Service Providers

We use the following service providers:

Cloudflare

• Hosts and runs the Worker that receives and processes the intake.
• Cloudflare may process network, security, request, error, and operational log information.
• The Worker code does not intentionally log intake answers or generated setup content.
• Cloudflare Workers Logs are enabled for operational troubleshooting and are retained according to the applicable Cloudflare plan.

Anthropic

• Receives relevant intake information through the Claude API and generates Project Instructions and starter prompts.
• AI Coach Builder currently uses a standard commercial Anthropic API account, not a special Zero Data Retention or HIPAA-enabled arrangement.
• Anthropic's own terms, privacy documentation, retention rules, security controls, and legal exceptions apply to its processing.

Resend

• Receives your email address, name, email subject, and the generated setup email content so it can deliver Email 1.
• Under the standard Resend configuration currently used, Resend retains email data for approximately 30 days.
• AI Coach Builder has not enabled Resend's optional message-content-storage disabling feature.

Kit

• If you request Upgrade Pack 001, Kit receives your email address, first name, source, output version, Upgrade Pack tag, and request timestamp.
• AI Coach Builder does not send your raw intake answers or health answers to Kit.
• Marketing or optional email consent is handled separately from the required intake-processing consent.

These providers may process information in locations determined by their own infrastructure and policies.

5. Emails And Optional Marketing

The personalized setup email is a transactional email needed to deliver the service you requested.

Any optional Upgrade Pack or marketing subscription should be presented through a separate, unchecked choice. You may unsubscribe from optional marketing emails using the unsubscribe method in those emails or by contacting zeb@aicoachbuilder.net.

Unsubscribing from marketing does not necessarily delete transactional delivery records or other records that must be retained for security, legal, or operational reasons.

6. Retention

AI Coach Builder does not currently maintain its own database of raw intake answers.

Information may still be retained by service providers:

• Cloudflare may retain Worker logs and operational metadata for the period associated with the applicable plan.
• Anthropic retains or does not retain API content according to its current commercial API policies, selected model, safety systems, and legal obligations.
• Resend currently retains email data for approximately 30 days under the standard configuration.
• Kit retains contact and subscription information until it is deleted, unsubscribed, or otherwise handled under Kit's policies and AI Coach Builder's account settings.

We may retain communications you send directly to us, and limited records needed for legal, security, fraud-prevention, or compliance purposes.

7. Your Choices And Requests

You may contact zeb@aicoachbuilder.net to request:

• Access to information under AI Coach Builder's control
• Correction of inaccurate information
• Deletion of information under AI Coach Builder's control
• Withdrawal from optional marketing
• Information about how your data was processed or shared
• Withdrawal of consent where applicable

Because AI Coach Builder does not store a raw intake database, some information may exist only temporarily or within third-party provider systems. We will take reasonable steps regarding records under our control and, where appropriate, work with providers or explain available options.

We may need to verify your identity before completing a request.

8. Consumer Health Data

The intake may collect information that qualifies as consumer health data under certain state laws.

AI Coach Builder provides a separate Consumer Health Data Privacy Policy describing:

• The categories of consumer health data collected
• The purposes for collection and use
• The sources of the data
• The categories of processors or third parties that receive it
• How to exercise applicable rights

A link to that separate policy should be displayed prominently on the AI Coach Builder homepage and near the intake submission area.

9. Security

We use reasonable administrative and technical measures appropriate to the current service, including:

• HTTPS transmission
• API credentials stored as Cloudflare secrets rather than plaintext variables
• No connected intake database
• No intentional logging of intake answers in Worker code
• Limited data sent to Kit
• Separation of optional marketing consent from intake processing

No system can guarantee absolute security. Please do not submit emergency information or information that is unnecessary for generating your setup.

10. Health, Medical, And Hipaa Notice

AI Coach Builder is an educational and coaching-support tool.

It is not a medical provider, does not provide diagnosis or treatment, and is not a substitute for a physician, therapist, registered dietitian, or other qualified professional.

AI Coach Builder is not currently offered as a HIPAA-covered service and has not represented that its current Anthropic or Resend configuration is HIPAA-ready.

Do not use AI Coach Builder for emergencies. Call emergency services or contact an appropriate qualified professional when urgent help is needed.

11. Age And Location

AI Coach Builder is intended only for individuals who:

• Are at least 18 years old
• Reside in the United States

Do not submit the intake if you do not meet both requirements.

12. Use Of Chatgpt After Delivery

AI Coach Builder generates setup materials that you may choose to paste into a ChatGPT Project.

AI Coach Builder does not automatically send your intake to ChatGPT or OpenAI.

Any information you later enter into ChatGPT is governed by your relationship with OpenAI and OpenAI's own terms, privacy practices, account settings, and product controls.

13. Data Breaches

If a security incident involves information subject to applicable breach-notification laws, AI Coach Builder will evaluate and respond to the incident as required by law. This may include notifying affected users, regulators, service providers, or others where legally required.

14. Changes To This Policy

We may update this policy as the service, providers, product features, or legal requirements change.

The effective date at the top will be updated when material changes are made. Where appropriate, we may provide additional notice.
